American Cell Technology is one of the largest personal stem cell banks in the United States, collecting, processing, and cryopreserving mesenchymal stem cells — from adipose tissue, bone marrow, and newborn cord blood and cord tissue through its VitalCells program — so clients have lifetime access to their own cells. ACT operates an FDA-registered, cGMP-certified facility and works with a nationwide network of partner hospitals and regenerative medicine physicians who perform collections on ACT's behalf. Every collection depends on a kit shipped out to the collection site and a sample shipped back to ACT's lab — logistics that run on a tight, time-sensitive schedule.

Client Challenges

  • With collection sites spread across a nationwide network of partner hospitals, ACT's logistics team had to generate a high volume of outbound shipping labels for collection kits — and every one of them was created by hand, one at a time, directly on the FedEx and UPS carrier portals.
  • Shipment details already captured in Salesforce — recipient hospital, collection site, package weight and dimensions — had to be manually retyped into the carrier portals, then tracking numbers and status manually copied back into Salesforce records. This back-and-forth consumed staff time and introduced data-entry errors, with shipment information sometimes going missing entirely.
  • ACT's client portal needed to display real-time shipping rate estimates for collection kits, but with no automated way to pull live rates from FedEx or UPS, that kind of visibility wasn't possible.
  • Because shipments moved across two different carriers, tracking them meant logging into two separate websites — with no single, centralized view inside the CRM where the rest of the collection record already lived.
